How Appdatasphere collects, uses, and retains personal data in connection with our Hong Kong practice.

2. Data we collect

  • Contact form data: name, email address, selected engagement type, optional scope notes, and message content.
  • Correspondence: emails and call notes related to scoping and engagements.
  • Engagement working papers: personal data that appears in client records we review (for example custodian names on vouchers), processed only to deliver the commissioned audit work.
  • Technical data: limited cookie and device data as described in our cookie notice.

3. Purposes

We use personal data to respond to enquiries, prepare engagement letters, perform fieldwork, issue findings packs, meet professional and legal record-keeping duties, and improve site reliability.

We process enquiry data on the basis of steps requested by you before a contract, and engagement data to perform the contract and to meet professional obligations applicable to audit work in Hong Kong.

5. Retention

  • Enquiry records: typically 24 months after the last meaningful correspondence if no engagement follows.
  • Engagement files and working papers: retained for at least seven years after the engagement ends, or longer where professional or legal requirements demand.
  • Cookie consent choice: stored in your browser until you clear local storage.

6. Sharing

We do not sell personal data. We may share data with:

  • IT and hosting providers who process data on our instructions
  • Professional advisers (legal or insurance) when required
  • Regulators or courts when legally compelled
  • Your statutory auditor, only when you ask us to support reliance discussions

7. International transfers

Our primary operations and hosting for client correspondence are arranged for Hong Kong use. If a tool or adviser outside Hong Kong must process personal data, we take reasonable contractual and organisational steps to protect it and will tell you when that transfer is material to your engagement.

8. Your rights

Subject to Hong Kong personal data principles and applicable exemptions for audit working papers, you may request access to personal data we hold about you, correction of inaccuracies, and information about how we use it. 9. Security

We apply access controls to engagement files, restrict field-staff access to records in scope, and use encrypted transport for this website where supported by your browser.

10. Children

Our services and website are directed at business professionals. We do not knowingly collect data from children.
