What a clean petty cash voucher pack looks like

Dating, authorisation, and attachment habits that make till reconciliations survive an independent count.

When we open a petty cash tin during verification work, the voucher pack tells the story before the notes are counted. Clean packs share a few habits that finance teams can enforce without heavy bureaucracy.

Date the expense, not only the reimbursement

Vouchers that show only the day cash left the till — and omit the day the expense occurred — make cut-off testing guesswork. Ask custodians to record both where they differ.

Keep authoriser and custodian distinct

If the same person holds the float and initials every voucher, dual control is theatre. Rotating authorisers, even on a weekly roster, gives an audit trail that means something during a surprise count.

Attach what the till cannot explain alone

Taxi stubs, market receipts, and courier dockets should sit with the voucher, not in a separate envelope “somewhere in the drawer.” Missing attachments are the most common exception we raise on Hong Kong branch visits.

Reconcile before the next top-up

Topping up a float while uncounted vouchers remain inside the tin hides shortages. A short reconciliation checklist before each bank withdrawal keeps the ledger and the tin aligned.

These habits will not replace a full cash disbursement audit, but they reduce the noise we have to clear before testing higher-value bank exits.
